Retail Manager (Part Time)

History of Diving Museum, Islamorada

Position:       Retail Manager                                 Hours:  PT 30 hours per week

Reports to:   Executive Director

Description: Oversee and provide a pleasing customer experience for all aspects of the Museum Store and visitor engagement through knowledgeable, friendly and efficient service. Greet and offer assistance to Museum and Museum Store visitors, handle admission and retail sales while connecting with each customer to provide a positive museum and shopping encounter. Manage all aspects of Museum Store including (but not limited to) Point of Sale processing and reporting, inventory, online store, product development and branding, creative display layout and signage as well as assist in other areas as needed. Works under the direction of Executive Director. Position has potential to grow into full time.

This position is based in Islamorada, Florida. Applicants must have a positive and professional attitude, be self-motivated, reliable and display strong core characteristics. A History of Diving Museum (HDM) team member is a multi-tasker who is expected to think critically while being intuitive. HDM operates with a small devoted staff that requires the sustained ability to work harmoniously with the HDM team, the public, HDM partners and the media. Staffing positions may require a team member to adjust unexpectedly to changes and readily solve problems.

In order to best serve the public, the Museum is open 7 days a week, 362 days a year. Working some nights, weekends and holidays is normal and customary with this dedicated staff.

Mission Statement: The Florida Keys History of Diving Museum is dedicated to collecting, preserving, displaying and interpreting artifacts, antiques, books, documents, photographs and oral history relative to the History of Diving. We tell the international story of the attempts to explore, understand and venture under the sea. We also celebrate the special role that South Florida and the Florida Keys played in this untold story.

Essential Functions

  • Proficient in all aspects of the Point Of Sale (POS) system including drawer count, Daily Sales Logs ensuring accuracy and completeness as well as monitor from days off, day-end balancing and reporting. Develop an understanding of the system in order to troubleshoot when needed. Run and file End-Of-Month reports.
  • Daily monitoring of stock levels. Maintain current knowledge of store merchandise, return and exchange policies; ensure that items are ordered, received, and labeled correctly through POS; restock items display  floor; maintain organized retail closet. Create signage to display layout to enhance merchandise sales.
  • Maintain online store and process online orders.
  • Run Inventory reports to ensure desired levels of inventory are sustained and stock is reordered when needed, Work closely with vendors acquiring new merchandise, sourcing new products and obtaining items to complement special exhibit or speaker. Also conduct full semi-annual inventory March/Sept   
  • Review, approve and submit vendor invoices to Executive Director, maintain vendor files
  • Manage Group sales, tour requests and scheduling
  • Process donations; process new and renewing memberships; reminder and renewal messages and notices, update PastPerfect database and run monthly reports
  • Contribute to e-blast/newsletters as requested, as well as prepare Museum Store advertising
  • Delegate appropriate tasks to Retail Team as needed and assist other staff as needed
  • Interaction with Storage tenants as needed and appropriate
  • Additional responsibilities as assigned by the Executive Director

Additional Duties (All Staff)

  • Assist with open and close of Museum, ensure proper engagement of the facility’s security systems, and monitoring surveillance cameras
  • Maintain cleanliness of Museum Store, display areas, restrooms, door entry, etc. – clean and sanitize periodically throughout day as needed and at end of each day 
  • Answer phones, take and forward messages as needed, respond to correspondence, emails and inquiries in a professional manner

Basic Qualifications

  • Previous retail/customer service experience required with Museum/non-profit experience preferred
  • Familiarity with POS system (Intuit - Quickbooks)
  • Recommended to be familiar with the Museum Store Association
  • Proficiency in computer skills, Microsoft Office applications, computer graphics and social media
  • Familiarity with PastPerfect or similar Museum collection, content or donor management software

Knowledge Skills and Abilities

  • Exhibit a pleasant, outgoing and service-oriented personality
  • Strong organizational, planning skills and attention to detail are critical
  • Excellent communications in English both orally and in writing
  • Must be detail-oriented and able to manage multiple projects at one time
  • Must be a self-starter, with creative and artistic design specific to retail displays
  • Flexible, versatile, and creative with ability to work as part of a team as well as independently while faithfully executing responsibilities
  • Certified diver with experience preferred

  • Critical thinking to adapt or modify processes in response to changing circumstances
  • Solve routine problems independently, consulting with the Executive Director for unusual or complex problems
  • Self-motivated: identify and implement changes and improvements to processes and procedures

Working Conditions

  • Must be able to lift up to 50 lbs and use a ladder as necessary to complete duties  
  • Available to work a flexible schedule, including weekends, evenings and some holidays
