JOB DESCRIPTION

POSITION TITLE: Registrar
SUPERVISED BY: Deputy Director for Collections and Exhibitions

GENERAL RESPONSIBILITIES:
The Registrar is responsible for the documentation, care, and movement of artworks for the Boca Raton Museum of Art. This position plays a key role in managing the museum’s collections, overseeing acquisitions and loans, ensuring proper storage and conservation, and maintaining accurate records. The ideal candidate is detail-oriented, highly organized, and knowledgeable in museum best practices.

SPECIFIC RESPONSIBILITIES:
• Oversee and maintain the museum’s collection management system, ensuring accurate and up-to-date records.
• Lead the initiative to publish the museum’s collection online.
• Coordinate and process incoming and outgoing loans, including condition reporting, insurance, shipping, and legal documentation.
• Manage the physical and digital documentation of the collection, including cataloging, accessioning, and deaccessioning objects.
• Ensure proper handling, storage, and conservation of artworks in compliance with museum standards.
• Oversee exhibition installations and deinstallations working closely with curators, preparators, art handlers, and Deputy Director for Collections and Exhibitions.
• Prepare reports and maintain records for legal, insurance, and institutional purposes.
• Coordinate with conservators and art handlers for preventive care and conservation treatments as needed.
• Work with the grant writing and fundraising teams on projects related to collection care.
• Answer requests for information and conducts record searches; handle public inquiries.
• Correspond with donors regarding potential gifts of artwork.
• Respond to general questions regarding artwork conservation, storage, shipping, and other concerns from the public.
• Visit potential donors to assess and document artwork.
• Other duties as assigned.

QUALIFICATIONS AND CHARACTERISTICS:
• Bachelor’s degree in Museum Studies, Art History, or a related field.
• Minimum of 3 years of experience in collections management or registrar work in a museum or gallery setting.
• Proficiency in museum collection management software.
• Strong knowledge of museum best practices, conservation standards, and legal/ethical considerations in collections management.
• Excellent organizational skills with a high level of accuracy and attention to detail.
• Strong written and verbal communication skills.
• Experience handling, packing, and shipping artworks.
• Ability to work both independently and collaboratively in a team environment.
• Knowledge of environmental monitoring and preventative conservation techniques.
• Physical ability to lift and move artwork as needed.
• Familiarity with copyright and intellectual property issues related to museum collections.
• Knowledge of federal and international laws governing cultural property and repatriation.

• Stands and walks throughout the workday, including sitting and bending; reaches, lifts, carries, and manipulates various materials, supplies and equipment
• Work is performed both indoors and outdoors
• Incumbent must be knowledgeable with the use of and is required to wear protective gear when appropriate (PPE will be assigned as needed)
• Work requires continuous activity and with frequent interruptions
• Incumbent may be required to work extended hours or on weekends when the workload requires

HOURS OF POSITION: 40 hours per week- (FT Exempt/Salaried)
